Where can I find the add a job form?

 

We have made adding a job as simple as possible. There are several places where you can find the add a job form...

 

1. Customer details: While talking with a customer, you will probably have their details in front of you. Normally you would have clicked contacts on the menu and searched using their name, company or telephone number to find them. Then you would have clicked on their name to see all of their details, including notes, etc. So from here you can simply click on Add a job in the actions menu (on the right or at the base if you are on a mobile). This will automatically add the contacts name into the add a job form already for you. 

Helpful tips:

  • A contact (customer) must have an address to be able to create a job for them.
  • The email address assigned to work will receive the confirmation and reminder emails.

 

2. Jobs menu - Agenda view: This is the default view when opening the jobs menu. Simply click on Add a job.

 

3. Jobs menu - Day view: This is colour coded so that you can instantly see how available each user is.From here you can either click on Add a job at the top or click on a time for a user, this shows the details of any jobs they already have, and then you can click add a job. This has the advantage that the users name, the date and time will automatically be added in the add a job form.

  

4. Jobs menu - Week view: This is also colour coded so that you can instantly see how available each user is. From here you can either click on Add a job at the top or click on a day for a user, this shows the details of any jobs they already have, and then you can click add a job. This has the advantage that the users name and the date will automatically be added in the add a job form.

In each of the Job views (Agenda / Day / Week) you can filter for the type of role that is required to complete the job. For example: if it is an electrical job, you will only want to assign an electrician, a plumbing job you will only want to assign a plumber, etc.

 

How to add a job?

Complete the add a job form.

Once you have done this a couple of times, you will probably find that it only takes a few moments to complete. Often this can be done while you are still talking with your customer, so by the time you have finished they will already have received your booking confirmation by email.

At the same time, you have notified the user that they have been assigned a new job by email and filled their calendar as well (and all with just one click, that’s not bad!).

 

  1. Give the job a name
  2. Select the job type
  3. (Optional) add any notes or special instructions
  4. Select a task/s. You can also add new task groups or add a task detail (to an existing group)
  5. The duration should automatically be completed for you (but you can override this is required)
  6. If any items are required for the job, you can add these now or these can be added by the person completing the job later
  7. If you need to provide any documents or images for the person completing the job, these can be uploaded
  8. Assign a user to the job (this will already be set if you have started from the day view however, if you want to refine the list of available users you can set the role type first to help you select an appropriate person)
  9. Select the date for the job (this will already be set if you have started from the day or week view)
  10. Select the time for the job (this will already be set if you have started from the day view)
  11. Select the reminder options if you want to automatically schedule a reminder to book again. A reminder will be sent to the contact approximately 30 days before the due date.
  12. Select the repeat options if you want to schedule this same job multiple times
  13. Start typing the contacts name and then select it from the list displayed (the contact’s name will have been set already for you if you started from the contact view).
  14. Now select the correct address for the job.
  15. Now you can either just click save & finish or
  16. If you select save & preview you will see a map displaying the location all of the jobs this user has for this day, along with a list of the jobs (time and duration). This gives you the opportunity to preview and check the timing between jobs. When you are finished just click done or if you need to adjust the timing click edit the job.

 

Now you are done! It’s really simple.
