How to enter information into your CRM more quickly…

It’s really great when you have a CRM to grow your business. To help get the most benefit from your CRM, having up to date information makes all the difference. This is especially so when it comes to getting the CRM adopted by your team. They are much more likely to use it and refer to it all of the time if it’s always up to date with the latest information. Here are some helpful tips on how to enter your data faster…

You may be out at a meeting where you are introduced to new people. You have some business cards, but what counts is getting the information from the cards and into your CRM.

While it is simple to enter a few contacts on your phone or tablet, if you have a number to add at once it can be much faster using a PC. Yes... there is usually an option where you can add the details onto a spreadsheet and upload these all at once in bulk to your CRM, but here is a way that is almost as fast (and faster for smaller quantities).

It needs to be completed with a minimum of fuss. The secret is to use the tab key on your keyboard. (This is very similar to the next key when using a mobile or tablet). By using the tab key instead of using a mouse you can save significant time. It is surprising just how long it takes to move your hand from your keyboard to the mouse to position it ready to click.

The second tip is to use the up / down / across keys to make a selection from a drop down list. (On a mobile you use your finger to select). For selection from a really long drop down list you can begin typing the first 2 or 3 letters of the selection you are looking for and then use the up / down / across keys and enter to select.

Now a CRM designed for efficient and fast data entry should minimise the number of saves you have to make during the process of entering new information (each save can use a precious few seconds). It should give you option to either save and view your information or to simply save and add another new contact (which further saves significant seconds). This counts when you are paying someone to enter your data for you as well... the easier and faster, the better.

By entering your information easily and efficiently, you will be able to make relevant and important notes about your contacts and to start the process towards building a deeper and more meaningful relationship with them. The purpose of this relationship building process is so that when a need or requirement arises, you will be able to assist that person by providing them with a product or service. This process is greatly assisted if you are working with people that you like and trust, something that takes time to develop and a CRM...
